Terms of Use

1. What RentBox is

RentBox is a tool for organising tenancy documents and information. Landlords store documents and tenancy details in their own Google Drive, set reminders and share selected documents with their tenants. Tenants can view the documents their landlord shares with them, in the Android app or in the web app.

2. RentBox is not legal advice

Document types, reminder periods and any information shown in the app are there for convenience. Rules for landlords change and differ between England, Wales, Scotland and Northern Ireland. You remain responsible for meeting your legal obligations. Check current guidance on GOV.UK or with a qualified adviser.

3. Who can use RentBox

• You must be 18 or over.
• You sign in with your own Google account and are responsible for keeping it secure.
• RentBox depends on Google Drive and other Google services. If your Google account or Drive storage is unavailable or full, some features will not work.

4. Landlords' responsibilities

• You decide what information about tenants you store and share, and you are the data controller for it under UK GDPR.
• You must have the right to store and share that information and must keep it accurate.
• You are responsible for giving the invite code only to the right tenant, and for which documents you share.
• You should keep your own backup of important documents. Deleting files or folders from your Google Drive removes them from RentBox.

5. Free trial, free plan and RentBox Pro

Tenants

RentBox is free for tenants.

Free trial

New landlords get a 60-day free trial with all features. No payment details are needed. The trial is available once per Google account. The app reminds you before the trial ends.

Free plan

If you do not subscribe when the trial ends, your account moves to the free plan: 1 property, 1 tenant, 3 documents and 1 reminder remain active. Everything else is kept but locked (shown greyed out) until you subscribe. Nothing is deleted because the trial ends.

RentBox Pro subscription

• RentBox Pro costs £11.99 per year, including VAT where applicable, and unlocks unlimited properties, tenants, documents and reminders. The price shown in Google Play at the time of purchase applies.
• You can subscribe at any time, including during the free trial.
• Payment is taken by Google Play. The subscription renews automatically every year until you cancel.
• To cancel, open the Play Store, tap your profile picture, then Payments and subscriptions › Subscriptions › RentBox › Cancel. You keep Pro until the end of the year you have paid for. Uninstalling the app or deleting your account does not cancel the subscription.
• Refunds are handled by Google under the Google Play refund policy. Your statutory rights as a consumer are not affected.
• If we change the price, we will tell you in advance, and Google Play will ask for your consent where required. A new price applies only from your next renewal.

6. Acceptable use

Do not use RentBox to store or share unlawful content, to harass anyone, to access another person's documents without permission, or to try to break, overload or reverse engineer the service.

7. Changes and availability

We work to keep RentBox reliable and secure, but we cannot promise it will always be available or error-free. We may improve, change or remove features. If we ever stop offering RentBox, we will give reasonable notice. Your documents stay in your Google Drive and remain yours.

8. Our liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law, and your statutory rights as a consumer are not affected.

Otherwise, we are not responsible for:

• losses caused by a missed deadline, missing document or legal requirement, because RentBox is not legal advice (see section 2);
• loss of files deleted, moved or changed in Google Drive, or problems caused by Google services;
• business losses, such as lost rent or profit.

Where we are liable, our total liability is limited to the amount you paid for RentBox in the 12 months before the claim.

9. Ending your use

You can stop using RentBox and delete your account at any time. See Account deletion. We may suspend an account that seriously or repeatedly breaks these terms, and will tell you why where we can.

10. Law

These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.

11. Changes to these terms

We may update these terms. The date at the top shows the latest version, and we will tell you in the app about significant changes.
